Separate three kinds of entry

Keep identity notes, condition observations and value references in different fields or notebook sections. For every estimate, record its date, source and the assumed issue and grade. If the grade came from a photo suggestion, write that explicitly. Do not overwrite a receipt with a current estimate: a recorded transaction and a proposed value describe different events. If the app lacks a field you need, keep the extra context in your own accompanying notes.

Read the scope of a reference

PCGS states that its price guide applies only to PCGS-graded coins. That is a reminder to read a reference’s scope before attaching its figure to a different object. Record which assumptions you have not established, rather than selecting the most favorable category. Keep a listing’s asking figure separate from a documented transaction. This guide does not supply a valuation method or recommend a purchase; it offers a way to keep unlike pieces of information from being merged.

Make uncertainty visible in summaries

When reviewing an album total, keep a list of entries with unresolved identity or grade assumptions beside it. Do not translate the total into a promise of what someone will pay. If you need an appraisal for a specific purpose, explain that purpose to an appropriately qualified professional and ask what evidence is required. Retain their document separately from app outputs. A useful collection summary tells you what you own records for, what you have observed and what still needs checking, not merely one impressive number.
